6 monday.com alternatives

Choose how much work management you actually need.

Hosting models, what each tool genuinely does best, and one honest caveat apiece — including for our own product, which is on the list and clearly labelled.

Editorial update: 1 November 2026

What should your next tool do better?

monday.com sells a colourful “Work OS”: boards, automations and dashboards you can shape into almost any process. The questions tend to arrive later. The price is per seat and tiered, with some features reserved for higher plans; the platform is cloud-only, so your work lives in a vendor's cloud under a vendor's jurisdiction; and the work tracked on those boards still happens somewhere else — in the chat tool, on the call, in the doc.

This guide compares six real alternatives, from the simplest board to a self-hosted suite. One of them is our own product; we say so on its card and apply the same honest-caveat rule to it as to everyone else.

  • Asana

    Polished, top-down work tracking

    Product website

Asana is one of the most refined dedicated trackers in the category: projects, portfolios, goals and workload views behind a calm, carefully designed interface. For organisations steering many projects from above, its reporting machinery is a genuine strength.

    Best for
Organisations that coordinate many projects centrally and want mature reporting on top.
    Hosting model
    SaaS only.
    What to check
The conversation about the work still happens elsewhere — most Asana teams pay for a chat tool alongside — and many of the features you grow into sit in higher tiers.
  • ClickUp

Tasks, docs and chat in one hosted workspace

    Product website

ClickUp combines tasks, documents, whiteboards, goals and chat in a hosted workspace. Compare the required features, usage limits and add-ons on the plan you would actually buy; a broad feature list does not establish better value for every team.

    Best for
Teams that want to consolidate as much functionality as possible into one SaaS subscription.
    Hosting model
    SaaS only.
    What to check
Breadth is the product and the problem: the interface is dense, the defaults need taming, and teams that skip the setup work tend to bounce off.
  • OpenProject

Open-source project management, on your metal

    Product website

OpenProject puts classic project management — work packages, Gantt charts, agile boards, time and cost tracking — on servers you control, as open source built by a Berlin-based company. Where data sovereignty decides the tender, it is usually on the shortlist.

    Best for
Public-sector and regulated organisations that need Gantt-driven planning on their own infrastructure.
    Hosting model
Self-hosted (open-source community or paid enterprise edition), or vendor-hosted cloud.
    What to check
The experience is traditional project management rather than monday's playful boards, and some capabilities are reserved for the enterprise edition.
  • Trello

    The board everyone already understands

    Product website

Trello uses boards, lists and cards with checklists, due dates and automation. It can suit teams whose process fits a shared board. The Premium and Enterprise plans add views such as Timeline and Dashboard; check which views and administrative controls your team needs.

    Best for
Small teams and lightweight pipelines that a single board can genuinely carry.
    Hosting model
    SaaS only.
    What to check
Timeline, Dashboard and workspace views are available on the Premium and Enterprise plans. Check the required plan and whether its portfolio, dependency and reporting features cover your workflow.
  • Notion

Docs and databases bent into a tracker

    Product website

Notion is a docs-and-databases workspace that many teams shape into a project tracker: pages, wikis and flexible databases with board, table and timeline views. Its quiet advantage is that the tracker lives inside the team's documentation, not next to it.

    Best for
Document-centric teams that want a light tracker living inside the wiki.
    Hosting model
    SaaS only.
    What to check
It is a toolkit, not a PM product: the structure is yours to build and police, and automation and reporting are lighter than a dedicated tool's.
  • Polybase

    Our product

    The sovereign team workspace

    Product website

Polybase folds the tracker into the place where work is discussed: tasks with List, Board and Timeline views share one workspace with chat, calls, docs and email, and any message becomes a tracked task in one click. Automations add visual automation — triggers from messages, email, table rows and schedules, with conditions, loops and actions. Run it in our EU cloud or on your own servers.

Full disclosure: Polybase is our product. Read this entry as the maker's perspective — the caveat below is as real as everyone else's.

    Best for
Teams that want the board and the conversation in the same place, and organisations that need it on their own servers.
    Hosting model
EU cloud or your own servers.
    What to check
No Gantt-style resource or workload dashboards and no app marketplace like monday's.
How to choose

Five questions worth asking before you switch.

  1. 01

Does the board live where the work is discussed?

Compare task comments, project messages, channel chat and integrations. Test how decisions become assigned work and whether updates reach the right people.

  2. 02

How does the price behave as you grow?

Per-seat tiers, seat minimums, metered automations — model the bill at twice your team size before you commit, not after.

  3. 03

Can it run on your infrastructure?

Most work-management platforms are cloud-only. If your data has to stay on servers you control, that single requirement decides most of the shortlist.

  4. 04

    Who pays the flexibility tax?

A build-anything platform needs a builder. Somebody has to design, connect and maintain the boards — count that person's hours as part of the price.

  5. 05

How far do the automations reach?

Rules that move cards are table stakes. Check whether automation can also touch messages, email and structured data — and whether it is metered.

Where Polybase fits

When it fits

  • The board sits inside the conversation

A message becomes a tracked task in one click, and status changes report back to the channel. Nothing is retyped from chat into a board that nobody reopens.

  • Automation across the whole workspace

Automations are part of Polybase: visual automations triggered by messages, email, table rows or schedules, with conditions, loops and actions — not a card-moving rule engine metered by plan.

  • Your own servers

monday.com is cloud-only. Polybase runs in our EU cloud or on your own servers — the same product either way.

  • Structured data beside the tasks

Tables, an optional add-on, gives each channel an Airtable-style database — typed columns, formulas, linked records, CSV import — that can itself trigger workflows.

What to check

  • Resource management and dashboards

No Gantt-style workload or resource dashboards, and no portfolios. Subtasks and task dependencies are included. If you plan capacity across teams on one screen, monday.com is ahead here.

  • App marketplace

monday's marketplace has hundreds of apps; Polybase has no marketplace. We offer GitHub and HubSpot connectors and connection to AI tools like Claude instead.

  • Guided migration

There is no automated monday.com importer yet — we provide migration help during onboarding.

Questions

Choosing a monday.com alternative.

What is the best monday.com alternative in 2026?

It depends on your binding constraint. Top-down tracking with strong reporting: Asana. Maximum features in one SaaS tool: ClickUp. The simplest possible board: Trello. Open source on your own servers: OpenProject. A tracker inside the wiki: Notion. Tasks, chat, calls, docs and automation in one self-hostable workspace: that is the case Polybase is built for — we're biased, so read the side-by-side comparison too.

Which monday.com alternatives can be self-hosted?

On this list, OpenProject is open source with a community edition you can run yourself. Polybase is not open source but runs on your own servers, including fully offline with no internet connection. Asana, ClickUp, Trello and Notion are SaaS-only — as is monday.com itself.

Can Polybase replace monday.com's boards and automations?

For most team workflows, yes: tasks come with List, Board and Timeline views, labels, assignees, due dates and configurable status workflows with approvals, and Automations cover visual automation triggered by messages, email, table rows and schedules. Subtasks, task dependencies, sprints and estimates are included. What Polybase does not have: monday's app marketplace or Gantt-style resource dashboards.

Can we migrate our monday.com boards?

monday.com exports boards to Excel, and those files are a solid reference for rebuilding your structure in Polybase channels, tasks and Tables. We offer migration assistance during onboarding; there is no automated monday.com importer yet.

What does Polybase cost compared to monday.com?

Pricing depends on modules and deployment; book a demo and we'll quote for your team. monday.com is priced per seat in tiers, and most teams run a chat tool beside it. Whether switching pays off depends on what you retire; a demo walks through your actual stack.

Does someone have to 'build' Polybase the way you build monday.com boards?

Less so. Channels come with tasks, docs, calls and a calendar out of the box, so the default setup is usable on day one. Automations and Tables are there when a team wants a custom process — but they are additions to a working workspace, not the prerequisite for one.
