Document Management

Your team's knowledge. Connected to its work.

Office files open in Polybase's editors. Supported content can be edited and exported; advanced formatting and features may differ from Microsoft Office.

Built-in file viewers

More than documents. Open the whole project.

Read a PDF, preview a design, play a recording or inspect an archive's file list. Open these file types inside Polybase, alongside your team's own Wiki pages.

Audio and video playback depends on the browser's codec support. Some document previews use server-side conversion.

Want to make changes, too?

Create and edit your own Wiki pages, documents, spreadsheets and presentations. Uploaded files with editing support include:

  • Wiki
  • DOCX
  • XLSX
  • CSV
  • PPTX

Editing requires access to the document and its editor. DOC, ODT, XLS, ODS, FODS and PPT open for viewing. Office conversion supports a subset of each format's features.

Connected knowledge

A wiki that opens the next step.

Turn a page into a useful starting point. Link to other wiki pages with @ or [[, see backlinks, and bring native tasks and saved table views directly into the document.

  • Organize parent and child pages with a clear hierarchy.
  • Open a task's details from its embedded title.
  • Pin an accessible wiki as a channel tab on web and desktop.

Wiki ownership & review

Know who owns it. Know what to trust.

Useful knowledge needs care. Assign page owners and stewards, distinguish drafts from published pages, and verify the revision your team should rely on. Review reminders help bring attention back when it's needed.

  • Follow pages and receive review notifications.
  • Preview retained Wiki revisions before restoring them.
  • Discuss Wiki content with page and row comments.

Knowledge health

Every page has a next step.

Find & share

Less searching. More useful sharing.

Find the content inside the file

Search indexed document text, including text extracted from supported scans with OCR. Browse files with content previews and switch between grid, column, gallery and tree views.

Search: renewal terms

“…renewal terms are reviewed before the next contract period…”

Share with clear boundaries

Keep documents within their channel's access rules. When sharing outside the workspace, choose viewing and download permissions, set an expiry and revoke a link when access should end.

Also on your desktop

A local file can stay local.

With the updated desktop app, open and edit DOCX, XLSX and PPTX files from your computer without signing in or uploading. Save a separate copy to keep the original intact. When you're ready to bring it into the team, explicitly import it into a workspace channel.

A few useful details.

How is a Wiki different from a document?

Wiki is Polybase's block-based knowledge format, with page hierarchy, backlinks, ownership, verification, comments and retained revision history. The document editor focuses on paginated writing and DOCX import/export. Both live in the Docs module alongside spreadsheets, presentations and uploaded files.

Can multiple people edit together?

Wiki shows editing presence and reserves the active editing region while someone works in it; people can work in separate regions. A region can contain multiple blocks. Word-style documents use one active editor at a time. Wiki comments and history are specific to Wiki, rather than features of every file type.

Can I use my existing Office files?

Yes. DOCX, XLSX and PPTX have editing paths in Polybase; PDFs and other supported uploads can be previewed. Import and export support depends on the format. Advanced Office layouts, formulas or effects may change, so review important files after conversion. The desktop local-file workflow saves a copy rather than overwriting your original.
